Resolve a Business Profile update message

Understand why a Business Profile change was confirmed, blocked, or only partly saved, and follow the correct recovery steps.

Business Profile controls the accounting model for a Workspace. xBoox may ask for confirmation or block a change when applying it could hide accounts, strand unfinished work, or make earlier reports appear under different bookkeeping rules.

This article explains every confirmation and blocking message shown by Settings > Business Profile.

Understand a partial or failed save

xBoox validates each changed Business Profile section separately. A safe section can save even when another protected section cannot. The result dialog identifies:

  • Saved settings that were accepted by the server;
  • Not Saved settings that remain at their previous value;
  • the records or rule that blocked each change;
  • the exact menu where the issue can be resolved.

After the save attempt, Business Profile reloads the server's saved state. This prevents the page from continuing to display a choice that was not actually accepted.

Do not repeatedly select Save Changes without resolving the listed blocker. Follow the displayed steps, return to Business Profile, make the change again, and save.

Required settings are missing

The profile cannot save a section whose required value is blank or invalid.

  1. Read the dialog to identify the affected section.
  2. Select Review Settings.
  3. Complete the highlighted field in Settings > Business Profile.
  4. Select Save Changes again.

No Business Profile setting is changed by this validation message.

Primary Province is required

When GST/HST is set to Registered, xBoox needs a Primary Province or Territory to determine which tax-code defaults to offer for new bookkeeping.

  1. Open Settings > Business Profile.
  2. Go to Sales Tax.
  3. Keep Registered selected.
  4. Choose Primary Province / Territory.
  5. Select Save Changes.

If the Workspace should not track GST/HST, select Not Registered instead. This choice should reflect the business's actual registration status.

Changing the primary province

Changing the Primary Province or Territory replaces the available defaults for new GST/HST/PST/QST selections. xBoox asks for confirmation because new transactions may receive different tax choices.

The change does not rewrite:

  • tax codes or tax amounts saved on historical transactions;
  • existing reports;
  • audit history.

Choose Reset and Continue only when the new province is the correct primary tax jurisdiction for the Workspace. Choose Do Not Save Sales Tax to leave the saved Sales Tax section unchanged.

Changing Business Type before bookkeeping starts

xBoox confirms a change between Self-Employed and Corporation even when the Workspace has no bookkeeping activity. The change affects reporting periods, available accounts, and banking workflow.

Before continuing, verify that the Workspace represents the same bookkeeping entity and has not begun real bookkeeping. If a sole proprietorship incorporated, keep the old Workspace for the sole proprietorship and create a new Workspace for the corporation.

Business Type is locked

Business Type is locked after bookkeeping activity exists. Self-Employed and Corporation Workspaces use different reporting periods, accounts, banking workflows, and tax assumptions. Reclassifying existing history under a different Business Type could make earlier reports misleading.

You cannot unlock this by deleting or undoing transactions because audit references may remain.

To continue with a different Business Type:

  1. Keep the current Workspace unchanged for its existing history.
  2. Open Me > current Workspace.
  3. Select Create Workspace.
  4. Choose the correct Business Type for the new books.
  5. Record future activity in the new Workspace.

Bookkeeping Setup cannot be changed

Simple Tracking cannot replace Bank Account-Based Tracking after bank transactions, statements, or reconciliations exist. Those records depend on dedicated bank-account balances and matching.

Keep Bank Account-Based Tracking in the current Workspace. If separate simple books are required, create another Workspace from Me > current Workspace rather than removing banking from established books.

Fiscal Year End cannot be changed

A Corporation's Fiscal Year End is protected after either:

  • a reconciliation has been completed; or
  • a Year End Review is ready for the accountant.

Changing the year end at that point could move reviewed activity into different reporting periods.

Review the related status under Banking > Reconcile and Accounting > Year End Review. Contact Support before changing an established fiscal year. Do not create offsetting transactions merely to bypass this protection.

Industry or Custom setup cannot be changed

An Industry profile supplies specialized managed accounts. Custom removes the Basic and industry Category templates. This choice cannot change after any affected managed account has transaction, split, bank-rule, import, journal-entry, deleted-record, or other audit history.

The dialog lists the accounts and number of historical references. Deleting or undoing an entry does not make the Workspace eligible because the audit trail remains.

For a second industry:

  1. Keep the current Workspace for its existing industry.
  2. Open Me > current Workspace.
  3. Create a separate paid Workspace.
  4. Select the other Industry in the new Workspace.

Separate Workspaces keep accounts, transactions, reports, and tax records clear for each business.

Industry account number conflict

The selected Industry may require a managed account number that is already used by a custom account.

  1. Open Accounting > Chart of Accounts.
  2. Search for the account number shown in the dialog.
  3. Confirm that the existing row is a user-created custom account.
  4. Edit that account and assign an available number outside the reserved system range.
  5. Return to Settings > Business Profile and save the Industry again.

Do not rename or renumber a system-managed account to bypass the conflict. Contact Support if the conflicting row is marked as managed by xBoox.

Completed history confirmation

When a Business Activity has completed history but no unfinished work, xBoox allows it to be disabled only after confirmation.

Disabling the Activity:

  • preserves completed transactions, journal entries, reports, and audit history;
  • removes its managed Categories from new-posting selectors;
  • prevents new entries to that managed group until it is re-enabled.

Choose Keep Enabled if new activity will still be recorded. Choose Disable only when the historical records should remain available but no new bookkeeping should use that Activity.

Unfinished Business Activity items

Home Office, Vehicle, and Residential Long-term Rental use the same disable protection. An Activity cannot be disabled while unfinished work still depends on its managed accounts.

The dialog lists only blocker types with a non-zero count. Resolve each displayed item:

  • Draft, needs-review, or unmatched transactions: open Expenses, Income, or Banking and complete, match, exclude, or delete the unfinished record.
  • Active bank rules: open Banking > Rules and disable the rule or change its posting Category.
  • Import preview rows requiring review: return to the related import review and complete, remap, exclude, or cancel each row.
  • Unposted working papers: open the named Home Office or Vehicle working paper and post or withdraw each unfinished calculation.

Then return to Settings > Business Profile, clear the Activity, and select Save Changes again. The failed attempt does not change the Activity, its accounts, or any historical record.

Refresh saved profile

If the result says that the saved profile could not be refreshed, an earlier section may already have been accepted by the server even though the page could not reload it.

  1. Reload Business Profile once.
  2. Compare the selected settings with the result dialog.
  3. Do not repeatedly submit the same change.
  4. If the saved values still do not appear, open Help Center or Contact Support and include the setting name and time of the attempt.
